The problem

Loose tools were creating a loose process in a high-trust environment.

Outleap was built to replace a fragmented destinations workflow spread across inboxes, documents, and spreadsheets. The work was not just about adding AI-assisted drafting. It was about giving staff one coherent system for evidence, references, review, and oversight in a high-trust environment where loose workflows are a liability.

What schools are dealing with

  • Schools need to support multiple post-18 pathways simultaneously.

  • Staff need visibility, auditability, and a clear action queue — not another loose set of documents.

Structured storage for records and evidence throughout the destinations process.

Dedicated workflow for producing consistent references without the usual fragmentation.

Clear visibility into what needs attention, who is waiting, and what stage each student is at.

Full view across destinations work with the compliance and history a school environment requires.

Why it was non-trivial

  • The hard part wasn't the AI. It was fitting drafting, evidence, references, and oversight into one system that staff would actually use.
  • The challenge was combining drafting, evidence, references, and oversight into one coherent staff-facing system.
  • In a school environment, unclear process and missing audit trails cause real problems. The product had to be tight enough to trust.
